Scheduling

Tutor Connecxion's calendar system makes it easy to manage tutoring schedules for everyone involved.

Calendar Views

Monthly Grid View

The monthly view gives you a bird's-eye view of the entire month:

  • See all scheduled sessions at a glance
  • Navigate between months with arrow buttons
  • Click any day to see detailed events

Weekly Time-Grid View

The weekly view shows detailed time slots:

  • Hour-by-hour breakdown of each day
  • Sessions appear as blocks on the timeline
  • Great for seeing availability gaps

For Students

Viewing Your Schedule

  1. Navigate to Calendar from the sidebar
  2. Browse your scheduled sessions
  3. Click any session for details (topic, tutor, time)

Students see their upcoming sessions but cannot create or modify them directly.

Your tutor schedules sessions based on their availability and your needs. Contact them to request schedule changes.

For Parents

Viewing Children's Schedules

Parents can see all sessions scheduled for their linked children:

  • Switch between children using the selector
  • View upcoming and past sessions
  • See session topics and tutor information

For Tutors

Tutors have full control over scheduling, including availability settings and session creation.

Setting Your Availability

Your availability tells the platform when you can teach:

  1. Navigate to Calendar and click Manage Availability
  2. For each day of the week, toggle availability on/off
  3. Set your working hours (e.g., 9:00 AM - 5:00 PM)
  4. Add break periods if needed
  5. Save your availability

Availability Best Practices

Tips for setting availability:
  • Be realistic about hours you can commit
  • Leave buffer time between sessions (15-30 min)
  • Update regularly to reflect your actual schedule
  • Block off meal times and personal commitments

Blocking Time Off

For specific dates (holidays, appointments):

  1. Click on the date in the calendar
  2. Select Block Time
  3. Choose the time range to block
  4. Add an optional reason
  5. Save

Blocked time will show as unavailable for booking.

Creating a Session

  1. Click Create Session or click on an available time slot
  2. Select the student from your roster
  3. Choose the date and time
  4. Add a topic describing what you'll cover (optional)
  5. Add notes for yourself or the student (optional)
  6. Click Create

Session Confirmation

After creating a session:

  • Both you and the student receive email confirmation
  • The session appears on both calendars
  • A reminder is sent before the session

Session Status

Sessions have different statuses:

Rescheduling Sessions

Things change! Here's how to handle rescheduling:

For Tutors

  1. Click on the session you need to change
  2. Click Reschedule
  3. Select a new date and time
  4. Confirm the change
  5. The student is notified automatically

For Students

Contact your tutor directly to request rescheduling:

  1. Go to Messages
  2. Select your tutor
  3. Explain when you need to reschedule
  4. Your tutor will update the session

Cancelling Sessions

For Tutors

  1. Click on the session
  2. Click Cancel Session
  3. Select a reason (optional)
  4. Confirm the cancellation
  5. Student and parent are notified
Try to cancel sessions at least 24 hours in advance to respect everyone's time.

Recurring Sessions

For regular tutoring schedules, tutors can create recurring sessions:

  • Weekly — Same day and time each week
  • Bi-weekly — Every two weeks

Recurring sessions are created as individual bookings that can be modified independently.
