Inviting Students

Building your student roster is key to growing your tutoring business. Here's how to invite and onboard students.

Sending Invitations

Via Email

  1. Navigate to Students from the sidebar
  2. Click Invite Student
  3. Enter the student's email address
  4. Write a personal message (optional but recommended)
  5. Click Send Invitation

What the Student Receives

Your invitee gets an email containing:

  • Your name and a brief intro
  • Your personal message (if you added one)
  • A link to create their Tutor Connecxion account
  • Instructions for getting started
Tip: Personal messages increase acceptance rates significantly!

Writing Good Invitation Messages

Example Messages

For a new student:

"Hi! I'm looking forward to helping you with your maths studies. Click the link below to create your account and we can schedule our first session!"

For an existing student (new to platform):

"Hey, I'm moving my tutoring to Tutor Connecxion for better scheduling and resources. Please create your account so we can continue our sessions!"

For a referral:

"Your friend Name recommended you reach out. I'd love to help with your studies. Create an account and we can chat about your goals!"

Tracking Invitations

Invitation Status

Monitor your invitations from the Students page:

StatusMeaning
PendingSent, waiting for student to accept
AcceptedStudent created account and joined
ExpiredLink expired (after 7 days)

Resending Invitations

If an invitation expires or wasn't received:

  1. Find the pending invitation
  2. Click Resend
  3. A fresh invitation email is sent

Student Onboarding Flow

What Happens After They Accept

  1. Student clicks the link in their email
  2. They create their password and complete their profile
  3. They automatically appear in your student roster
  4. You can now schedule sessions and assign tasks

Their First Steps

New students following your invitation will:

  1. See your name and subjects on the platform
  2. Review the student getting started guide
  3. Be ready for you to schedule their first session

Growing Your Roster

Tips for building your student base:
  • Ask satisfied students for referrals
  • Mention Tutor Connecxion to prospective students
  • Keep your profile compelling and updated
  • Respond promptly to inquiries

Managing Communication

  • Follow up personally if invitations go unanswered
  • Check spam folders might be catching emails
  • Offer to walk through signup if they're stuck

Student Details

After They Join

Once a student joins, you can view:

  • Profile — Name, email, parent info
  • Activity — Last login, engagement metrics
  • Tasks — All assigned tasks and scores
  • Sessions — Complete session history

Maintaining Relationships

Strong student relationships:
  • Communicate regularly between sessions
  • Celebrate their wins and progress
  • Be responsive to messages
  • Remember personal details and interests

Handling Issues

Student Never Accepts

If an invitation goes unanswered:

  1. Send a reminder message via another channel
  2. Resend the invitation
  3. Verify the email was correct
  4. They may not be interested—move on

Student Needs Help Signing Up

If they're stuck:

  1. Offer to video call and walk through it
  2. Verify they're clicking the right link
  3. Check if they already have an account
  4. Contact support if technical issues persist
