Managing Availability

Your availability settings control when students can book sessions with you. Keep them accurate for smooth scheduling.

Setting Weekly Availability

Accessing Availability Settings

  1. Navigate to Calendar from the sidebar
  2. Click Manage Availability
  3. You'll see a weekly grid view

Configuring Each Day

For each day of the week:

  1. Toggle the day on (available) or off (not working)
  2. Set your start time (when you begin working)
  3. Set your end time (when you stop working)
  4. Add breaks if needed (see below)
  5. Repeat for each day

Adding Breaks

Why Add Breaks?

Breaks prevent back-to-back sessions and give you time to:

  • Eat lunch
  • Prepare for the next session
  • Take mental breaks
  • Handle personal matters

How to Add Breaks

  1. In Availability settings, find the day
  2. Click Add Break
  3. Set start and end time (e.g., 12:00 PM - 1:00 PM)
  4. Save
Tip: Even 15-minute breaks between sessions help you stay fresh and prepared.

Blocking Specific Dates

When to Block Days

Use date blocking for:

  • Holidays
  • Appointments
  • Vacations
  • Personal days

How to Block Time

  1. Go to Calendar
  2. Click on the date you want to block
  3. Select Block Time
  4. Choose duration (full day or specific hours)
  5. Add an optional reason
  6. Save

Blocked dates override your weekly availability.

Best Practices

Be Realistic

Sustainable availability:
  • Don't overcommit—burnout hurts everyone
  • Account for prep time, not just teaching
  • Leave buffer between sessions
  • Reserve time for admin tasks

Stay Consistent

Students prefer consistent schedules:

  • Try to maintain similar hours week-to-week
  • Communicate major changes in advance
  • Build a routine students can rely on

Update Promptly

Keep availability current:

  • Block holidays as soon as you know them
  • Update when your schedule changes
  • Remove blocks when dates pass

Handling Conflicts

What If Availability Changes?

If you need to change your regular availability:

  1. Update your weekly availability settings
  2. Changes apply to future bookings
  3. Existing sessions remain unchanged
  4. Reschedule any sessions that conflict

Double-Booked?

If you accidentally have conflicts:

  1. Review both sessions
  2. Decide which to keep
  3. Reschedule the other
  4. Communicate with affected students

Visibility

Who Sees Your Availability?

  • Students see available time slots when booking
  • You see your full calendar with all sessions
  • Students don't see your blocked reasons or break labels
