Creating Sessions
Sessions are the core of your tutoring business. Here's how to schedule them effectively.
Creating a New Session
From the Calendar
- Navigate to Calendar
- Click on an available time slot
- Select Create Session
- Fill in session details (see below)
- Click Create
From the Sessions Page
- Navigate to Sessions
- Click Create Session button
- Fill in session details
- Click Create
Session Details
Required Fields

| Student | Select from your student roster |
| Date | When the session will occur |
| Time | Start time (must be within your availability) |
| Duration | Length of session (30 min, 1 hour, etc.) |
Optional Fields

Session Types
One-Time Sessions
Standard single sessions:
- Best for: assessments, special topics, catch-up
- Scheduling: Pick any available date/time
- Flexibility: Can be rescheduled individually
Recurring Sessions
Regular scheduled sessions:
- Create a session as normal
- Check Make Recurring
- Select frequency (Weekly, Bi-weekly)
- Set end date or number of occurrences
- Create
Recurring sessions are created as individual bookings that can be modified independently.
Writing Good Topics
Topics help students prepare and know what to expect.
Good Topic Examples
- ✅ "Quadratic equations - solving and graphing"
- ✅ "Essay structure review for history paper"
- ✅ "Exam prep: Chapters 5-7"
Poor Topic Examples
- ❌ "Math" (too vague)
- ❌ "" (empty)
Tip: Specific topics lead to better session outcomes because both you and the student arrive prepared.
After Creating
What Happens Next
- Confirmation — Session appears on both calendars
- Notifications — Student (and linked parent) receives email
- Reminder — Automatic reminders before the session
- Start — "Start Session" button appears at session time
Starting a Session
When It's Time
- Find the session on your dashboard or calendar
- Click Start Session
- Allow camera/microphone access
- Wait for the student to join
- Begin teaching!
If the Student Doesn't Join
Wait 5-10 minutes before taking action:
- Check Messages for communication
- Send a quick "Are you joining?" message
- If no response, consider ending and messaging to reschedule
Rescheduling Sessions
How to Reschedule
- Click on the session
- Click Reschedule
- Select a new date/time
- Confirm the change
- Student is notified automatically
Best Practices
- Reschedule as early as possible
- Send a personal message explaining why
- Offer alternative times
- Apologize for any inconvenience
Cancelling Sessions
When to Cancel
Consider cancellation for:
- Personal emergencies
- Illness
- Student no-show (after waiting)
- Scheduling conflicts
How to Cancel
- Click on the session
- Click Cancel Session
- Select a reason (optional)
- Confirm
- Student and parent are notified
Policy reminder: Try to cancel at least 24 hours in advance. Last-minute cancellations impact your reliability.
